Our Planning Process Roadmap
01. GET IN TOUCH
Tell us about your next adventure by filling out our inquiry form, then use the calendar link on the same page to lock in a time to connect. This complimentary discovery call is where we’ll dive into your unique travel style and goals to start crafting your itinerary.
02. FEE PAYMENT & AGREEMENT
Once you decide to move forward, we’ll formalize our partnership by signing a client agreement and processing the planning fee invoice. This officially locks in your spot on our calendar so design work can begin.
03. DESTINATION DISCOVERY (IF NEEDED)
If you are deciding between a few different locations, we’ll start here. We will provide a high-level comparison of your top choices—analyzing factors like seasonality, travel logistics, and overall vibe—to help you confidently narrow it down to the perfect destination.
04. HOTEL SELECTIONS & PROPOSAL
Within 4–5 business days of settling on your destination, you’ll receive a custom proposal featuring curated accommodation options tailored entirely to your preferences. To ensure the foundation is exactly right, this phase includes one comprehensive round of revisions.
05. ACTIVITIES & EXPERIENCES
After your approval of the stay options, I’ll craft a selection of unique activities, dining, and experiences—delivered within another 4–5 business days.
06. FINAL ITINERARY & TRAVEL PREP
Two weeks after you’ve confirmed hotels and activities, I’ll deliver your detailed, day-by-day digital itinerary. This phase includes one round of comprehensive revisions. Then, 1–2 weeks before your trip, I’ll reach out with last-minute travel tips and special recommendations—and we can hop on a pre-departure call if desired—to ensure your preparation is entirely effortless.
07. SUPPORT & UPDATES
I'm your travel partner every step of the way—available for questions, last-minute changes, or extra advice, even while you're on the road.
08. WELCOME HOME SURVEY
Our relationship doesn't end when your flight lands. Once you’ve settled back in, we’ll send a brief post-trip survey to hear all about your favorite highlights and feedback. Your insights help us continually elevate our curation and ensure your next journey is even more exceptional.
For most trips, planning takes about 4–6 weeks, depending on complexity. Group and longer itineraries might take a bit more time but I’ll always keep you updated throughout.

This depends on where you’re traveling and the type of trip you’re taking. In general, the earlier the better, since this gives us the best chance at locking in hotels, dining and activities before things book up (especially if you’re headed to a highly sought-after location or during busy season). A good rule of thumb is to reach out 6-9 months before a multi-stop trip or 4-6 months before a one-stop trip.
Note: Additional fees may apply for rush bookings (60 days or less).

Hotels value the relationships we have with them, so they pay us a standard industry commission out of their own pockets. The rate you pay is exactly the same as booking directly (sometimes cheaper! and often comes with extra perks like free breakfast or resort credits)—the hotel just shares a piece of their revenue with us for bringing you to them.
However, if you want us to design the days between those hotel stays—the private tours, the logistics, the expert tips, and curated dining reservations—that requires a custom itinerary planning fee to cover our dedicated design time.

Of course – that’s why we offer planning services! This is what our ‘The Packing Cube’ package is great for. We can help with any additional components related to curating your itinerary (e.g. local research, activity / dining reservations, tours, etc.).
As for securing perks from hotels you’ve already booked, send an email to camryn.lasala@fora.travel and we’ll see if we can do a “takeover booking.” If the hotel permits, this essentially adds us as the agent of record and allows you to get all the relevant partner perks. No changes are made to your original booking and there’s no additional cost. -
Nope – you’ll pay exactly the same price, and in fact you'll likely save money on perks like free breakfast, amenity credits, etc.
On the rare case our rate is more expensive, it is usually not by much and the value of the perks outweighs the extra cost by a landslide. We can also still book the regular rate you see if you're not interested in the perks!

We can help book flights on a case-by-case basis, but generally, we recommend clients book their own airfare. As we all know, flights change, delays happen and managing your flight directly can often be the quickest way to resolve any issues. Plus, we find that most clients prefer to use credit card points or frequent flier miles—bookings that require direct client management.
However, if flight booking and research is what you dread most, for an extra fee per person, we do offer premium cabin bookings (premium economy, business and first class) paid with cash or a small flight research package for those wanting to book economy or flights with rewards/points.
